OK so the UK driving licence counterpart in now INVALID as of 08/06/15. This means you can no longer ask a driver to see their licence counterpart as it’s not a recognised document.

 

So what? I hear you say…

You have a few options for managing employee driving licences from this point;

Option 1

Do nothing and hope none of your employees driving have been disqualified or have an accident


Option 2

Try and implement a system internally where admin staff build a process to constantly check on the DVLA website (or even try the premium rate DVLA phone line option!)

It’s a risk you’ll need to weigh up in your business, is it worth it?


Option 2 a possibility?

You would need to run a quick calculation based on the following:
a) Number of employees who are allowed to drive for work at any point (let’s say 50 staff) in their own vehicle or any company vehicle or hire car

b) Number of minutes spent checking each licence internally (let’s say 8 minutes each)

c) Amount of time getting all employees to register on the DVLA site and generate a one time code for you (let’s say 15 mins of their time and another 6 mins admin time chasing them & logging the results in some kind of internal system = 21 minutes)
So (b) + (c) x (a) = 1450 mins X £10 per hour (avg hourly rate) = £241.00* base costs
 
* This simple calculation doesn’t take into account:
  • The time needed to actually create the internal system to log results, trigger reminders and repeat patterns for re-checks on anniversary dates of new starters
  • The extra time needed to chase employees out in the field who struggle to log on to the DVLA site
  • The back/forth extra time for re-starting the process when the DVLA employee code expires (only lasts 72 hrs)
  • The problems that will come with the new ID verification system being added to the DVLA driver login in July (only 70% success rate for establishing ID) which means more time trying to check details using the fall-back premium rate phone number
  • Any extra costs in internal systems, phone calls and associated ‘off-the-job’ time employees are taking to complete this process

Considering Option 3?

Here you would need to establish the costs associated with:

  • The actual charge of a professionally managed licence checking service (price per check)
  • The cost associated with getting each employee to give consent for the licence check
